Using the Guest Dashboard

Learn how the Guest Dashboard gives authorized guest users a centralized place to access, review, and revisit cases and reports that have been shared with them.

What is the Guest Dashboard?

The Guest Dashboard is the client-facing feature of Panoptyc where authorized guest users can access and review incidents or cases that have been shared with them.

Instead of relying only on the original email notification each time information is shared, the Guest Dashboard provides a centralized place where clients can return to review previously shared activity and stay current on new cases.

The information available in the Guest Dashboard may depend on the guest user's access and setup.

How do guest users access the Guest Dashboard?

Your micro market operator will share a link to a Case or report that has been made available to you. This link will also provide access to the Guest Dashboard, where you can review Cases that have been shared with you.

When you click the link, you’ll be prompted to enter the email address the Case or report was shared with. You’ll then receive an email containing your temporary 6-digit verification code, otherwise known as the Panoptyc OTP (“One-Time Password”).

Enter the verification code to confirm your identity. Once verified, you’ll be taken to the Guest Dashboard, where you can access your available Cases.

From the Guest Dashboard, you can review New Case(s), return to Viewed Case(s), and use the available filters to narrow down the information you want to review.

To access the Guest Dashboard:

  1. Click the link shared by your micro market operator.

  2. Enter the email address associated with the shared Case or report.

  3. Check your email for your temporary 6-digit Panoptyc OTP.

  4. Enter the verification code when prompted.

  5. Once verified, review the Cases available to you in the Guest Dashboard.

If you have trouble accessing the Guest Dashboard or do not receive your verification code, contact your micro market operator for assistance.


 

How to navigate the Guest Dashboard

The Guest Dashboard includes several options to help users narrow down the cases they want to review.

Available filters include:

  • Select Locations – Choose the location or locations you want to review.
  • Incident Date From and Incident Date To – Narrow the results to incidents that occurred within a specific date range.
  • Minimum Incidents – Focus on cases with a minimum number of incidents.
  • Refresh Cases – Update the case list based on the filters selected.

These filters can help guest users focus on the activity most relevant to their review.

Reviewing New and Viewed Cases

Cases in the Guest Dashboard are separated based on whether they have already been reviewed.

New Cases are cases that have been shared but have not yet been viewed.

Viewed Cases are cases that have already been opened and reviewed.

This makes it easier to identify newly shared information while still allowing users to return to previously viewed cases when additional follow-up is needed.

Reviewing the Case List

The case list provides important information to help users understand what has been shared, including details such as:

  • Branch and location
  • Number of incidents
  • Case status
  • Incident date
  • Date shared
  • Available photos and videos

Users can select Expand All to open the cases displayed on the page or Collapse All to simplify the view.

Reviewing Incident Details

Open a case to review the Incident Details and the information associated with the reported activity.

Depending on the case, this may include photos, videos, and details from the incidents associated with that individual.

Reviewing the complete case can provide additional context, especially when an individual has been involved in multiple incidents.

Guest users can also return to the case later if additional review or follow-up is needed.

Making the Most of the Guest Dashboard

Regularly reviewing the Guest Dashboard can help clients stay current on information shared by their operator.

A simple workflow is to:

  1. Log in regularly and check for newly shared cases.
  2. Review newly shared incidents and the available case information.
  3. Look for repeated behavior or multiple incidents associated with the same individual.
  4. Discuss the incident with the appropriate internal team and determine the appropriate next steps based on your organization's policies.
  5. Document or communicate the action taken, when appropriate.
  6. Continue monitoring the results and return to previously viewed cases when follow-up is needed.

The Guest Dashboard keeps shared case information in one centralized place, helping clients review reported activity, revisit previous cases, and keep ongoing follow-up connected to the information that was originally shared.
