Reviewing and Responding to Incident Reports

What is Panoptyc?
Panoptyc is a security monitoring platform that helps your micro market operator identify and review potential incidents. This allows your operator to share relevant security insights with you and work together to maintain a safe and well-managed market.
Incident reports are shared when your micro market operator identifies activity that may require your review. Their purpose is to help you understand what occurred so you can determine the most appropriate next steps based on your organization's policies.
How do you access the reports?
Your micro market operator will share links to reports containing footage and information on suspicious activity. These reports are sent via email from lossprevention@panoptyc.com. When you click on the link, you’ll be prompted to enter your email address, at which point you’ll receive an email with your temporary 6-digit verification code, otherwise known as Panoptyc OTP (“One-Time Password”).

How to navigate the reports
The reports are organized into sections to help you quickly review key information about each incident. At the top of the report, you’ll see various columns, but two to get started are the Case # (the unique ID assigned to the individual associated with the incident) and Comments (a description of the suspicious incident).
You can reference the Case ID when discussing a particular incident with colleagues or your micro market operator. Before viewing the footage, it's helpful to read the comments to understand the incident you're about to review.

How to act on the reports
Before taking any action, review the footage and details of the incident.
Consider the following:
- Is the incident valid? While Panoptyc and your operator carefully review reports before sharing them, no system is perfect. Reports highlight activity that should be reviewed; they are not a final determination of wrongdoing. Please verify the incident(s) before taking action.
- What appears to have happened? Consider the employee's actions and whether the behavior appears intentional or accidental.
- Has this individual been involved in previous incidents? A pattern of behavior may warrant a different response than a first-time occurrence.
- Do you have questions about the report? If anything is unclear, contact your operator for additional context.
After reviewing the incident, determine the most appropriate response based on your organization's policies.
Possible actions include:
- Meeting with the employee to review the footage and understand what happened from their perspective.
- Providing coaching or additional training if the incident appears to be unintentional.
- Issuing a verbal or written warning.
- Monitoring for repeated incidents.
- Suspending the employee, if appropriate.
- Terminating employment, if warranted by the circumstances and your organization's policies.
Not every incident requires the same response. The appropriate course of action depends on the circumstances, the employee's history, and your organization's policies. In many cases, simply making an employee aware that an incident was identified and reviewed is enough to discourage similar behavior in the future.
