New Workflow Features and UI Enhancements

Overview

We’ve introduced several enhancements to improve user workflows, system accessibility, and report visibility. These updates are designed to reduce friction, streamline notifications, improve permission management, and ensure users have clearer visibility into incident-related actions and access logs. From updated user preference settings to access notifications for guest users, these improvements support both internal teams and customers for a more efficient experience.


What Has Changed?

1. User Preference Page: Consolidated Suspicious Incident Report Emails

  • Old System: Users received separate incident report emails for each location.
  • New System: Users now receive a single weekly consolidated email. This email includes all suspicious incidents reported across all locations. Instead of receiving multiple emails, users can review the incidents in one comprehensive email.
  • Benefit: Reduces email overload and provides a direct link to the Report Portal for easy incident management.


2. Access Management Enhancements

  • Centralized Permissions Management: Users can now view and manage both branch and location-level permissions from one interface.
  • Location User Tab: A new tab separates location users from branch users for improved guest role management.
  • Explicit "Add" Buttons for Permissions: Users now use a dedicated "Add" button when assigning permissions at both branch and location levels.
    • Branch Users: If the domain is unsupported, an error will be shown.
    • Location Users: Includes a dropdown with a disabled default guest user option.
  • Benefit: Increases transparency, control, and accuracy when assigning roles and access.


3. Guest User Access Notification

  • Old System: Guest users were not notified when they were granted access to incident reports.
  • New System: Guest users now receive an access granted email notification.
  • Benefit: Prevents confusion by clearly communicating when access is available.


4. Access Log Improvements on Report Portal

  • Old System: Only link clicks (e.g., "Recent Incidents") were logged.
  • New System: Now logs detailed case report actions such as:
    • Viewing specific case reports.
    • Opening video modals.
    • Clicking comments.
  • Benefit: Aligns with the Case Tracking Portal and provides deeper insight into user engagement with incident content.


5. Updated Email Templates for Sharing Incident or Case Reports

  • Enhanced the share email template for both Incident Reports and Case Tracking Reports.
  • Policy Inclusion: For clients like Canteen, a conditional statement about video policy is now dynamically shown in the email.
  • Benefit: Provides compliance messaging only when relevant, avoiding redundancy and ensuring clarity.

6. UI Refreshes

  • Removed Report Photo Column: The Report Portal now excludes the photo column from incident details for a cleaner view.

  • New Visual Cues for Statuses:
    • Added broken underlines to "Viewed" and "Viewed by Client" statuses.
    • Added tooltips with contextual descriptions upon hover.

  • Benefit: Enhances readability and prompts users to explore further details via intuitive visual cues.
