Managing Location Access with Location Managers

Learn how to give team members access to specific locations while keeping visibility controlled across your organization.

What is a Location Manager?

The Location Manager role allows operators to give specific team members access to Panoptyc while limiting their visibility to only the locations assigned to them.

This is useful for onsite managers, supervisors, or other team members who need to review activity for their locations without having access to every location under the branch.

How Does Location Manager Access Work?

Access across Panoptyc depends on the user's role:

User Type

Access

Operator

Full access to the Case Tracking Portal and Report Portal across all locations under their branch

Location Manager

Access to the Case Tracking Portal and Report Portal, limited to assigned locations

Guest User / End Client

Access to the Guest Dashboard, focused on reports and incidents shared with them

Location Managers can access:

They will only see information associated with the locations assigned to them.

How to Add a Location Manager

Location Managers can be added through Access Management, using the same process used to add Guest Users.

Step 1: Open Access Management

From the left navigation menu, click Access Management.

The Manage Locations page will open.

Step 2: Select the Location

Find and select the appropriate location from the location list.

Once selected, the right side of the page will display the users currently associated with that location.

You can also see information such as the user's role and their most recent access activity.


Step 3: Click Add User

Click Add User in the upper-right corner of the user section.

The Add User window will open.






Creating a New Location Manager

If the person does not already have a Panoptyc account:

  1. Enter the user's name in New User Name.
  2. Enter their email address in New User Email.
  3. Open the role dropdown.
  4. Select Location Manager.
  5. Click Add User.

The new Location Manager will then appear in the list of users associated with that location.

If the user needs access to multiple locations, repeat the same process for each location they should be able to view.

What Can Location Managers Do?

Once access has been assigned, Location Managers can use the Case Tracking Portal and Report Portal for their assigned locations.

This allows local teams to:

  • Review incidents and cases related to their locations
  • Monitor activity without needing branch-wide access
  • Keep reports and cases organized by location
  • Collaborate with operators while maintaining appropriate access controls

Why Use Location Managers?

Not every user needs visibility into every location.

The Location Manager role allows operators to involve local teams more directly while keeping branch-wide management centralized.

By assigning users only to the locations relevant to them, operators can maintain better control over platform visibility while still giving teams the tools they need to review and respond to activity.
